At Learning Loop ApS (the company behind Learning Loop Mentoring), transparency and privacy are extremely important. This document outlines how we collect, store and process personal data, if you attend one of our events or use our website.

Log files

Learning Loop ApS follows a standard procedure of using log files. These files log visitors when they visit websites. All hosting companies do this and a part of hosting services' analytics. The information collected by log files include internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, referring/exit pages, and possibly the number of clicks. These are not linked to any information that is personally identifiable. The purpose of the information is for analyzing trends, administering the site, tracking users' movement on the website, and gathering demographic information.

Cookies

Like any other website, Learning Loop ApS uses 'cookies'. These cookies are used to store information including visitors' preferences, and the pages on the website that the visitor accessed or visited. The information is used to optimize the users' experience by customizing our web page content based on visitors' browser type and/or other information.

Advertising and analytics

Google DoubleClick DART Cookie. Google is one of a third-party vendor on our site. It also uses cookies, known as DART cookies, to serve ads to our site visitors based upon their visit to app.learningloop.io and other sites on the internet. However, visitors may choose to decline the use of DART cookies by visiting the Google ad and content network Privacy Policy at the following URL:

Facebook tracking pixel.Facebook is one of a third-party vendor on our site. It also uses cookies, known as the Conversion Tracking Pixel to serve ads to our site visitors based upon their visit to app.learningloop.io and other sites on the internet. However, visitors may choose to revoke their permission by visiting the Facebook privacy settings center at the following URL:

Third party video conferencing integrations

Learning Loop Mentoring integrates with the Zoom API to make sure that 1:1 video mentor sessions can be carried out in a platform of the mentor's preference. The Learning Loop Mentoring platform shares the start- and end-times of mentor calendar events with the 3rd party video conferencing services so that it can correctly create video conferencing meetings. Mentor access tokens, refresh tokens, User IDs, Meeting IDs, and Meeting URLs are stored in the Learning Loop platform database for as long as the mentor affiliated with the platform. This information is stored in a secured server and transferred over a secured connection and is not shared with fourth parties. Mentor authentication with the mentioned third party video conferencing services happens through the oAuth2 protocol where Client IDs and Client secrets are stored in an encrypted file on the Learning Loop Mentoring platform server.

Third party mentor calendar integrations

Learning Loop Mentoring integrates with the Google Calendar API and the Microsoft Outlook Graph API to make sure that available mentor timeslots reflect what is actually available for the mentor in the mentors personal calendar to prevent double-bookings. The Learning Loop Mentoring platform application frequently requests to read all calendar events in the mentors calendar 1,5 months ahead, but only reads and stores the start- and end-times of mentor calendar events, not specific details about the events. Start- and end-times of mentor calendar events are stored (cached) in the Learning Loop Mentoring platform database – on a secured server and transferred over a secured connection and is not shared with fourth parties. When a mentee books a mentor, the Learning Loop Mentoring platform application creates a calendar event through the preferred calendar integration of the mentor (Google Calendar API or the Microsoft Outlook Graph API) on the behalf of the mentor and also includes and shares the requesting mentee email with the mentor through the created calendar event, where the mentee is a participant. If the mentor has chosen Google Meet as his or her preferred video conferencing service, a Google Meet conferencing link is added through the Google Calendar API. If the Zoom video conferencing solution is preferred, at Zoom video conferencing URL is added to the calendar event. Mentor access tokens, refresh tokens, and Meeting URLs are stored in the Learning Loop Mentoring platform database – on a secured server and transferred over a secured connection and is not shared with fourth parties. Mentor authentication with the mentioned third party calendar services happens through the oAuth2 protocol where Client IDs and Client secrets are stored in an encrypted file on the Learning Loop Mentoring platform server.

The Learning Loop Mentoring platform use of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

Third party privacy policies

Learning Loop Mentoring's Privacy Policy does not apply to other advertisers or websites. Thus, we are advising you to consult the respective Privacy Policies of these third-party ad servers for more detailed information. It may include their practices and instructions about how to opt-out of certain options.

Managing your information

You can access and update some of your personal information through your Account settings. If you connected your Learning Loop Mentoring account to a third-party service, like LinkedIn or Google, you can change your settings and unlink from that service in your Account settings. You are responsible for keeping your personal information up to date.

Removing data

Personal information you have provided to us can be deleted at any time. This doesn’t apply to data used for tax, billing, and accounting purposes. If you wish for your personal information to be deleted or if you wish to obtain a copy of your data, please email us at info@learningloop.io.

If you request erasure of your personal information, please note the following:

  • We may retain your personal information as necessary for our legitimate business interests, such as prevention of money laundering, fraud detection and prevention, and enhancing safety. For example, if we suspend an Learning Loop Mentoring Account for fraud or safety reasons, we may retain information from that Learning Loop Mentoring Account to prevent that Member from opening a new Learning Loop Mentoring Account in the future.
  • Information you have shared with others (e.g., Reviews, comments, and posts) will continue to be publicly visible on Learning Loop Mentoring, even after your Learning Loop Mentoring Account is cancelled. However, attribution of such information to you will be removed. Some copies of your information (e.g., log records) will remain in our database, but are disassociated from personal identifiers.
  • Because we take measures to protect data from accidental or malicious loss and destruction, residual copies of your personal information may not be removed from our backup systems.

Security

While no organization can guarantee perfect security, we are continuously implementing and updating administrative, technical, and physical security measures to help protect your information against unauthorized access, loss, destruction, or alteration.

Children

Minors under 18 years of age need the consent of their parents or guardians before they submit personal data to us.

Changes to this policy

We reserve the right to change this privacy policy at any time in order to comply with legal requirements or to enable us to deliver and improve our services.
